Integrating Xero With RealtimeCRM

RealtimeCRM now offers integration with Xero accounting software enabling you to transition seamlessly between the two. You can now see exactly what you owe a client or what a client owes you, letting you keep track of all your financial dealings. If any of your Companies in RealtimeCRM aren’t in your Xero account, we have added in the ability to transfer them and their details directly into Xero all from the comfort of your RealtimeCRM account.

Integrate with Xero

We have made sure that the process of integrating Xero and RealtimeCRM is as straightforward as possible. Just follow the tutorial below.

  • Click on your Username in the top right corner
  • In the drop-down menu, click on ‘Settings’
  • From the left-hand menu, select the ‘Third Party Integration’ heading
  • At the bottom of the page you will find the Connect with Xero button
  • Before clicking the button make sure you have pop-ups enabled, if you are unsure how to do this in your browser read our article here
  • Click the button and a pop-up will open asking for Xero’s permission, click the ‘allow access’ button
  • Wait for the modal to close by itself
  • RealtimeCRM is now integrated with Xero

Adding a Company from RealtimeCRM into Xero

As mentioned earlier, we have provided you with the ability to add your Companies from RealtimeCRM directly into Xero. Just follow the tutorial below.

  • Click on the Companies panel in the left hand sidebar
  • Locate the Company record you wish to link to Xero and then click on it
  • Once you are on that Company’s record, scroll down and just below the Company information you will see ‘Link with Xero’
  • You then have the ability to link with an existing Contact in Xero, or copy that Company directly into Xero
  • In this example there is no existing Contact in Xero to connect the RealtimeCRM record with so we will copy it into Xero as a new Contact and both the RealtimeCRM record and the Xero Contact will be linked

Importing a ‘Contact’ from Xero as a Company in RealtimeCRM

The other way around is also possible. If you are already set up with Xero and want to import one or all your companies into RealtimeCRM, this can be done without going through the CSV export/import process.

  • Click on the Companies panel in the left hand sidebar
  • Locate the Import button then in the drop-down select ‘from Xero’
  • Enter the name of the company you want to import or enter its Xero id. You can find the latter in the url when viewing its page, it looks like abcd1234-ab12-ab12-ab12-abcdef123456
  • The ‘Persons’ in Xero associated with that ‘Contact’ can be imported as Contacts in RealtimeCRM. If you wish to do so, tick the box ‘Also import Xero “Persons” as RealtimeCRM Contacts’
  • Press Search, then select Import from the list

Importing all “Contacts” from Xero as Companies in RealtimeCRM

If you want to import all your Xero Contacts at once, here is the procedure to follow.

  • Click on the Companies panel in the left hand sidebar
  • Locate the Import button then in the drop-down select ‘from Xero’
  • Go to the tab ‘Import all Contacts’
  • The ‘Persons’ in Xero associated with that ‘Contact’ can be imported as Contacts in RealtimeCRM. If you wish to do so, tick the box ‘Also import Xero “Persons” as RealtimeCRM Contacts’
  • Press Import all Xero Contacts
