Marking an Opportunity as won and converting it to a Project
Sales is all about winning opportunities and so it’s very important that you know how RealtimeCRM allows you to update an Opportunity and mark it as won.
You can mark an Opportunity as won (or lost) once it has reached the stage at the far right. When this happens you’ll see an Opportunity won button option appear. As well as updating the record, this will also give you the choice of converting the Opportunity into a Project so that you and your team can continue to provide great customer service via RealtimeCRM while delivering on their requirements.
The process of converting an Opportunity into a Project takes just one click and saves you having to re-enter the details of the Opportunity into the newly created Project. Specifically, all details such as Line Items and prices are all transferred across and are ready and waiting for you when you view the new Project.
Mark an Opportunity as won but do not convert it to a Project
To be able to convert an Opportunity it must first have completed all Opportunity stages and be in the final Opportunity stage
- Select the Opportunities panel from the left hand sidebar
- Then click on the Opportunity you wish to convert from the list of all Opportunity records
- Once inside the Opportunity record on the top right of the record you will see the Opportunity won button, click it
- A new dialog box will open asking you to confirm whether you wish to mark the Opportunity as won and thus turn it into a Project. Make sure the option for ‘Convert to Project’ is left unchecked and so your Opportunity will be marked as won but a related, new Project record will not be created
- Now click Confirm to complete the process
Convert a won Opportunity into a Project
To be able to convert an Opportunity it must first have completed all Opportunity stages and be in the final Opportunity stage
- Select the Opportunities panel from the left hand sidebar
- Then click on the Opportunity you wish to convert from the list of all Opportunity records
- Once inside the Opportunity record on the top right of the record you will see the Opportunity won button, click it
- A new dialog box will open asking you to confirm whether you wish to mark the Opportunity as won and thus turn it into a Project
- You’ll also notice a drop-down menu box labelled Project Type on the dialog box asking you to select the type of Project you wish to turn this Opportunity into
- Once you have chosen your desired Project Type simply click Confirm and the Opportunity will be converted into a Project and you will be taken to your newly created Project record
Manage Opportunity win or loss in bulk
If you have a high volume of Opportunities, or you update your CRM as a batch process you may want to do the above steps across a number of Opportunity records at the same time. This can be done using the bulk update process
- Click on the Opportunities option on the left hand menu so that you can see a list of your Opportunities
- Use the checkbox on the left hand side to select all of the Opportunities that you want to include in your bulk action
- Click on the Manage Selected menu option at the top right of the list
- Select Mark Opportunities as Won in order to win the selected Opportunities. You will be shown the same dialogue box to optionally convert them all to a Project (see above for details). Note that whatever you choose will apply to all of the Opportunities you have selected
- Alternatively, select Mark Opportunities as lost in order to immediately mark the selected Opportunities as lost.
Note: You can toggle between a won Opportunity and its corresponding Project by clicking under the Opportunity or Project title clicking on the corresponding Project or Opportunity respectively.
